What’s included in the Basic Bookkeeping package?
Every month, we will categorize all business-related income and expense transactions and issue you a monthly financial statement consisting of a Balance Sheet and a Profit and Loss. These reports will help you understand your business's past to make decisions on your business's future. They are required to do any tax planning or to fund your business with mid-year loans. Unlimited email and text support are also included.
What’s not included in the Basic Bookkeeping package?
Anything above and beyond basic tracking of income and expense items for the month is not included in the monthly price above. However, additional services are available as an add-on to your basic bookkeeping package. These add-ons include accrual basis accounting, detailed financials showing class tracking or job profitability, invoicing, bill payment, payroll, sales tax filing, tax planning and preparation, and legal help. Monthly strategy sessions are also available for additional fees.
How do I request additional services?
Once you have selected to enroll in the Basic Bookkeeping package, you will have an opportunity to review additional services in more detail and select those that suit your business best. You may also request services via email at any time! We are here to help!
What qualifications does your team have?
Many of our team members are CPAs, legal professionals, and Certified QuickBooks Pro-Advisors. You can rest assured that you are working with the highest quality professionals. We also belong to a large network of financial professionals, so if there is a question we have not seen before, we have a lot of resources in our back pocket to find an answer for you fast.
What information do I need to share?
Ideally, our bookkeeping team will need access to your business bank and credit card accounts to complete your monthly financials efficiently. Many banks allow for an accountant (read-only) access to bank accounts. This access helps us to keep our fees affordable and our efficiency high.
If I have a question, how long does it take to get an email response?
We pride ourselves on being very responsive to our client's important inquiries. We strive to respond within 24 hours AT MOST (except over weekends and holidays). If we are very busy, we will respond to let you know we've received your email and will address it shortly.
What hours do the bookkeepers and other team members work?
Due to the flexible nature of bookkeeping work, many team members work various hours of the day and night. However, we use standard M-F 8-5 work hours to address emails and phone calls.
Is Quickbooks Online required for the Basic Bookkeeping package?
Yes. Our team must use Quickbooks Online in order to handle the bookkeeping. Versions - Essentials, Plus, or Advanced are all acceptable. Simple Start or Quickbooks Self Employed is not. If you have a current subscription, you are ahead of the game—no need to get another subscription. If you do not currently have a subscription, the onboarding videos will walk you through how to get that setup. We are able to offer 30% off to our new clients for 12 months. This is the best discount you can get with Quickbooks Online. We highly recommend signing up for Essentials or Plus to start.
Do you require a contract?
Yes, a contract is required—but you’re free to cancel at any time. Please note that partial month refunds are not available.
Is an engagement letter required?
Yes, an engagement letter is required. These terms and conditions documents will act as our official engagement letter. You may be asked to sign future engagement letters via electronic signature for any additional services as well.
What is required of me?
We do not offer refunds, but you can cancel anytime. We do want to provide world-class service to you, but we cannot do that without the proper documents and items requested during onboarding and in the future. We also cannot read minds, so there will be various questions asked throughout the month to make sure we are categorizing things appropriately. Timely responses are appreciated.
Important things to note for various add-on services:
Basic Bookkeeping requires you to maintain your own QuickBooks Online (QBO) subscription. You will always own the license and retain full access to your account, even if our working relationship ends.
Strategy Sessions are a great way to dive deeper into your business. Whether you want to review financials in detail or brainstorm solutions, these sessions provide clarity and fresh perspective. Unlimited email and text support are included with our basic bookkeeping package, but we recommend scheduling monthly (or at least quarterly) strategy sessions to stay on track and plan ahead. One-time sessions are available at $45/hour, or you can enroll in recurring monthly sessions starting at $250/month. While we suggest a three-month commitment for the monthly plan, it’s not required.
Legal services are available at an additional cost. Our legal partners provide a complimentary consultation to review your business needs, including due date alerts, reporting requirements, secure cloud document storage, entity setup, articles of incorporation, and even exit strategies. We encourage you to take advantage of this free consultation. Please note that any ongoing legal services will require a separate engagement letter with our legal partners.
Tax Planning and Preparation services are available to help you stay ahead year-round. We create strategic tax planning reports based on your financials, past tax history, and future projections—so you’ll never face surprises at tax time. Any tax service will require an additional engagement letter before work begins.
Payroll Setup and Support are available through our trusted payroll partners. One affordable monthly fee covers payroll submissions, tax payments, and all required filings—including year-end reports and W-2s—with costs based on the number of employees. Our payroll experts handle timely and accurate compliance while also offering HR support and retirement plan options for you, your partners, and employees. Please note that all payroll services require a separate engagement letter with our payroll partners.
Sales Tax Filing is one task you don’t have to manage alone. We can assist with monthly, quarterly, or annual sales tax return filings for your business. To ensure timely submission to the appropriate state departments of revenue, we ask that you provide the necessary information at least five business days before the filing deadline. This allows our team sufficient time to review, compile, and file your returns accurately.
Class Tracking is available for clients who need more detailed financial reporting. This feature is especially useful for tracking the profitability of specific jobs, customers, product lines, or for real estate investors managing rental properties and flips. To ensure accuracy, we’ll work with you to establish a clear process for sharing transaction details. With several methods available, we’ll create a customized plan that fits your business needs.
Managing Accounts Receivable (AR) and Accounts Payable (AP) can be time-consuming—we’re here to simplify it for you. From tracking customer and vendor balances to sending invoices, processing payments, and keeping records updated, we’ll handle the details so you don’t have to. This service requires regular communication throughout the month and may involve additional software subscription costs.
Clean-up and Catch-up Work is a common need for many of our new clients. This service is required for any months where tax returns have not yet been completed. For example, if your 2018 tax return has already been filed, we would begin by completing or reviewing your books starting January 2019 to ensure accurate financials for your next return.
We offer one-time discounts to new clients for this back work and may extend discounts for prior years where tax returns or financials appear inaccurate. Please note that we reserve the right to adjust terms and conditions at any time.
